🪧 Demo Guidelines
The conference will provide a standard demo setup. You will have access to a computer workstation, or you can use your own laptop; an external screen and internet access will be available. See Technical Requirements.
All demo presenters will be assigned a specific time slot. The detailed poster & demo session schedule will be communicated close to the conference date. See On-Site Demo Presentations.
As a demo presenter, you will also have the option to upload a poster to Fourwaves (the conference platform) to summarize your demo, with the goal of increasing the accessibility and visibility of your demo. This is not mandatory. The poster would not be displayed on the conference screens, but made available on the platform for attendees. Similarly, you can also upload an optional 60-second video presentation about your demo, which will also be made available on the platform. See Optional Poster & Video.
💻 Technical Setup
The demos are currently scheduled to take place in CRX 030 (panoramic view). It will be possible to connect your laptop directly to your assigned monitor using an HDMI cable. While several HDMI cables will be available, you can consider bringing your own HDMI cable as a backup. Alternatively, you can use the workstation attached to the monitor to show your demo (e.g., in case of a website). Internet access will be available.
Please let us know ASAP if you have any specific technical requirements. We cannot guarantee that all requests will be accommodated, but we will do our best to support reasonable needs.
👨🏫 On-Site Demo Presentations
- Location: Demo & Poster sessions will be held on Level 0 of the Learning Crossroads (CRX) building, in rooms C020 and C030 (see note below on scheduling).
- Setup: There will be 15 digital displays (7 in C020 and 8 in C030), each labelled with a number (1 to 15).
- Scheduling: Presentations will occur at specific times and locations as indicated in the official program, which will be communicated close to the conference date.
- Engagement: Each in-person demo presentation is scheduled during the breaks between the sessions. Presenting authors are expected to be at their assigned display during this time to engage with participants.

Format
- E-Poster: Landscape, PDF, single page; min. 1920×1080 resolution; 16:9 aspect ratio.
- Video presentation: 60 seconds (1 minute) duration, MP4 format.
Technical Requirements
- E-Poster:
- Orientation: Landscape (mandatory).
- Aspect ratio: 16:9 (mandatory).
- File format: PDF; single page only (mandatory).
- Minimum resolution: 1920×1080 px (recommended).
- File size: max. 20 MB (recommended).
- Files not meeting the mandatory requirements will not be accepted for presentation.
- Video Presentation:
- Demo visual with voice narration.
- Format: MP4 only.
- Duration: Max. 60 seconds.
- File size: 30-100 MB (recommended).
Design & Quality
- E-Poster:
- Readability: Use a large, legible font size (the poster screen sizes are 55”- 75”).
- Visual impact: Prioritize high-quality visuals over dense text.
- Clarity: Focus on key messages and avoid complex layouts.
- Contrast: Use high-contrast colors for better visibility on digital screens.
- Connectivity: Consider including a QR code for links to additional materials or papers.
- Video Presentation:
- Ensure the playback works correctly.
- Make sure the narration is clear (no noisy background).
Submission
Please submit your poster (and video) through the direct AIME 2026 Fourwaves submission link: https://event.fourwaves.com/aime26/submission. You must be registered for AIME 2026 before submitting your materials. Please use the same email address that you used for your conference registration. In the submission form, please:
- Select Poster as the presentation type.
- Enter your paper number as a number only. This field is mandatory.
- Complete any additional information requested in the form.
- Upload your poster PDF file.
- Upload your MP4 video presentation, if available.
- Review your submission carefully and click Submit.
Updating Your Submission
If you need to update or replace your poster materials later, log in to Fourwaves using the same email address used for your original submission. Then open your Submissions area, select your AIME 2026 submission, and click Edit submission. Depending on the Fourwaves dashboard view, you may first need to select the Participant role from your profile menu. Please note that only the original submitter can edit the submission. Co-authors or presenters who were added to the submission may only be able to view it. If you cannot access or edit your submission, please contact the organizers and include your name, registration email address, and paper number.
Online Presentation Content
During the conference, participants will be able to access poster information through the conference platform, including the title, assigned location, presentation schedule, e-poster PDF, and short video presentation (if provided by the authors).
This will enable participants to review posters at any time and identify when to visit the assigned display to engage with presenters in person during their scheduled session.
